How to digitize and index Office-like documents?


MAPGED: DIGITIZING AND INDEXING DOCUMENTS


As part of a coherent archiving system, it is also interesting to be able to archive documents produced with Office-like applications before even thinking of printing them. At the same time, we also want to be able to archive them in the same folders as regular business output.

MAPOUT is the module from MAPPING Suite that lets you archive, search and display all iSeries, pSeries, Unix/Linux and Windows spool files. These documents are stored in archive folders based on indexing criteria and indexed in a database so they can be consulted on the Web via a secure access in MAPWEB.

With MAPPING Suite, and in particular the module called MAPGED, it is now possible to archive scanned documents in the same directories using the same criteria as those applied to business output. We use a scanner to digitize the types of documents we want to archive, that is to say:

- Hardcopy documents (letters, WORD, EXCEL documents, etc.) which have already been printed out but which couldn't be archived together with business output.

- Business output printed before the implementation of automatic archiving.

MAPGED interfaces with any type of scanner so we can digitize the document. After adding the definitions required to identify the type of document, the document is recognized and indexing criteria are applied automatically. The digitized document is then indexed and archived and then remains accessible for viewing based on the same criteria as those applied to business output.

As long as a document can be printed under Windows, it can be archived. For example, WORD and EXCEL documents (which you can open in Microsoft Office), PDF* documents (which you can open in Adobe Reader), .TXT files (which you can open with the scratchpad or Wordpad) and even HTML pages (if the page can be printed, it can also be archived).

For this we use MAPGED's virtual printer which allows archiving the document.
